About the Role

Core Responsibilities
• Provide administrative support mainly to the senior team and maintains filing system.
• Screen incoming mail and calls, maintains management diaries and handles confidential matters.
• Organise business travel including travel plans, hotel bookings and itineraries.
• Arrange meetings and coordinate communications technology (e.g. conference calls), taking minutes, ordering catering where necessary.
• Co-ordinates input for weekly/monthly management reports.
• Organise any entertainment/functions as required
• Office management of the Edinburgh facility including general office maintenance and the co-ordination of external suppliers such as cleaners, maintenance building, ordering stationary, tea and coffee supplies...


Candidate Requirements

• This job is a very hands-on, therefore small office experience would be an advantage.
• Strong computer literacy: experienced in Microsoft Applications inc. PowerPoint, Excel, Word, Outlook.
• Must display the ability to act quickly and decisively, even under pressure and show readiness to be flexible in times of peak workload.
• Must be proactive with the ability to use initiative and complete tasks accurately and within deadlines
• Excellent telephone manner
• High organisational ability
• Good time management skills
• Be able to deal sensitively with confidential information and liaise with senior level members of staff


Reporting to the Finance Director, you will be responsible for:
PA duties to Chief Executive
Administrative support to the senior team
Screening incoming calls and emails
Complex diary management
Booking travel and accommodation and preparing itineraries
Arranging meetings and preparing meeting papers
Minute taking where required
Preparing weekly/monthly management reports
Organising events/functions
Adhoc office management duties
Coming up with creative and innovative ideas to keep the office a fun and lively place to work

This is a very hands on and fast paced role, so it is essential that you have previous Office Management/PA experience. You must have excellent working knowledge of Microsoft Office packages - PowerPoint, Excel, Word and Outlook. You will be able to work under pressure and to tight deadlines, while at the same time being accurate and efficient. Excellent communication and organisational skills are a must. If you have worked within a dynamic and rapidly growing company then this will be advantageous.
